Aspect Property Manager - Overview

The Aspect Property Manager consolidates all information about landlords, properties, tenants and suppliers in one place. This means time and money is saved because the full details on any account are immediately available. Instead of "ratting around" in files, you can access details on any account or transaction at the touch of a button. This of course includes all correspondence, whether by letter or email.

Among other things, the Aspect Property Manager handles:-
     receiving money from tenants for rent, debt, letting fee and bond
     collecting your fees and GST
     arrears reporting
     reconciling the trust ledger to the bank
     reminding you to do things like chasing up those slow payers or going to the dentist
     paying the landlords, suppliers and the bond authority
     producing landlord statements
     email or hard copy landlord statements
     email or hard copy "one-off" and bulk mail merge letters
     reporting on properties currently vacant and those which will be soon
     and it will even build web pages advertising those properties.

Two principal design criteria were to make the system simple to use and provide independence to the widely varying levels required by individual users. The latter objective is achieved via the extensive context sensitive Help topics which does not mean, "you're on your own buddy" but rather acknowledges that many users want to be independent and want an answer "now!". Much of the information is presented in "grids" or tables which let you start at one of the four main screens and "drill down" to obtain the full details of any transaction affecting the account. View the Landlord, tenant and supplier transactions movie.

The transaction grids allow you to examine all transactions which have affected the account. Individual items like receipts, invoices, payments and so on, may be viewed and entered manually, while "bulk entry" facilities exist for receipts and invoices.

An even faster method of entering tenant receipts is to import them directly from a bank transaction file using inexpensive bank specific software or accessing your account using the Internet. You'll be amazed at how quickly you can do the receipting and of course you know that you won't be making any keying errors!

Payments are just as easy. Run one job to pay all the landlords. Include your fees and GST and payments to suppliers, tenants and bond disbursements if you wish. Telling the bank is dead simple too because the system will create a direct credit payments file which is either, transferred to the bank electronically, or by using a diskette or CD. No more manually entering the payment amounts on a bank deposit/transfer form and taking ages to find the inevitable transcription errors.

Bank reconciliation with the Aspect Property Manager is a breeze. Unpresented items are displayed in a grid similar to a bank statement, the closing balance on the statement entered, all the items appearing on the statement are selected and it is done! This ensures the Aspect Property Manager accurately reflects the transactions in the bank trust account. Because it's fast and simple you can do a bank reconciliation each time you enter transactions from your bank statement. No more time consuming end of month scramble to locate the missing/extra money.

The Aspect Property Manager does many things "automatically" for you - enter a rent change or vacate date and the system will tell you if the tenant misses paying the rent increase or pays beyond their vacate date. It helps you by issuing warnings when unusual situations exist - such as trying to pay a landlord more money than you should.

A large number of standard (form) letters are supplied and you can of course add your own. Mail merge personalises any standard letter by merging details from the database into the letter, whether you are writing to a single or many individuals at once (bulk mail merge). Not just the name and address and starting out "Dear Joe", but accurate, up to the minute, recipient specific items such as rent change details, the amount in arrears (right now), or the next property inspection date. Of course "one-off" letters may be written too.

The Aspect Property Manager caters for "letters" to landlords, tenants and suppliers by post, email and fax. Regardless of the method of communicating, the "letter" may be retained in each account's correspondence file for future reference and can also be used as an electronic "Bring Up" reminder to "do something" at some future date. Further "Notes" or "Bringups" may be added to an account to record telephone conversations, things to do, etc.
